? Monitor, prioritise, and respond to high volumes of email correspondence on behalf of the Chairman, ensuring timely and appropriate follow-up.
? Draft, proofread, and manage professional communications, including internal and external correspondence.
? Maintain organised systems for tracking communications, delegating
tasks, and ensuring nothing falls through the cracks.
? Act as a communication filter and facilitator, ensuring the Chairman’s
time is protected while maintaining strong relationships with key
stakeholders.
Business Travel & Meeting Support
? Accompany the Chairman on key business trips and meetings, providing on-the-ground support and coordination.
? Ensure all travel logistics are meticulously planned and executed,
including flights, ground transportation, accommodations, visas, and
itineraries.
? Anticipate potential travel disruptions and proactively resolve issues to ensure a smooth, stress-free experience.
? Coordinate with airlines, hotels, and concierge services to secure
upgrades, preferred amenities, and seamless transitions.
? Prepare travel packs with essential documents, contacts, and schedules, and remain available for on-the-go adjustments.
? Take notes, manage schedules, and assist with real-time decision-making and communication while traveling.
? Prepare meeting materials, take minutes, and ensure follow-up actions are documented and completed.
? Prepare background briefs on people and companies to be met.
? Prepare agendas for meetings.
? Handle confidential and sensitive information with discretion and
professionalism.
Financial & Strategic Support
? Assist in reviewing financial statements, investment proposals, and
strategic planning documents.
? Support budgeting, forecasting, and financial tracking activities in
collaboration with the finance team. ? Conduct research and analysis on market trends, investment opportunities, and competitor activity.
? Analyze potential opportunities and provide concise summaries and
recommendations.
Project & Initiative Management
? Track progress on key strategic initiatives and ensure timely execution of deliverables.
? Coordinate cross-functional projects and assist in preparing status updates and executive summaries.
? Maintain a high-level understanding of business priorities and proactively identify areas where support is needed.
Personal & Administrative Affairs Management
? Assist with personal tasks and errands to ensure the Chairman’s time is optimised.
? Maintain a high level of flexibility and responsiveness to changing priorities and needs.
? Oversee personal documentation and compliance, including but not
limited to passport renewals, visa applications, driver’s license renewals, car registration, insurance, and tax filings.
? Manage household or personal service providers, memberships,
subscriptions, and renewals.
? Maintain a proactive system for tracking deadlines and ensuring all
personal and administrative obligations are met.
Account & Portfolio Management
? Manage the Chairman's various accounts and portfolios, including but not limited to banking, investment, and airline/hotel memberships.
? Ensure all accounts are up to date, monitor transactions, and handle any issues or inquiries.
? Coordinate with financial advisors, bankers, and membership services to optimise benefits and maintain accurate records.
Qualifications
? Bachelor’s degree required; a degree in Finance, Business, Accounting, or a related field is strongly preferred.
? Experience in a professional services environment such as auditing,
financial advisory, or management consulting is highly desirable.
? Strong business acumen and the ability to quickly understand and
navigate complex organizational dynamics.
